Terms of service

Draft — not yet reviewed by a lawyer.

This describes how we intend to operate and is accurate about the product. It must go through legal review before this site is published or submitted to an app store.

The service

FieldLog is software for documenting field work: a mobile app for capturing photographs, notes and checklist answers, and a web dashboard for viewing them and producing reports. We provide it to your business on a subscription.

Accounts

Accounts are created by us for your business. The mobile app has no signup path — a person joins your company because you invite them. You are responsible for who you invite and for removing people who leave.

What it costs

$99 per month, or $990 per year, per business. All users are included. The price is designed for a business with 520 people in the field; beyond 25 we will talk to you rather than throttle you, and no report submission is ever blocked for exceeding a limit.

Founding customers keep the price they signed up at for as long as their subscription remains active. Subscriptions renew until cancelled and can be cancelled at any time, effective at the end of the paid period.

Thirty-day refund. If FieldLog has not earned its keep in the first thirty days, tell us and we refund that payment. You keep your reports and your export.

Your data is yours

You own the reports, photographs and notes your business creates. We claim no ownership of them and we do not use them to train anything or to advertise. Export is free, complete, and available for as long as your account is open — including after you have given notice.

See the privacy policy for what happens to stored files after an account closes.

Reports cannot be edited

Once a report is submitted, nobody can change it — not your administrators, not us. Corrections are made by creating a follow-up report that references the original. This is deliberate: a record that can be quietly altered is not evidence, and the ability to alter it would be the first thing anyone challenged.

Acceptable use

Use FieldLog to document your own work. Do not use it to store material you have no right to hold, to photograph people who have not agreed to it where the law requires their agreement, or to attempt to reach another business’s data. Tell your field staff that the app records location with each photograph — that is your obligation as their employer, and in many places it is a legal one.

Availability, honestly stated

We do not offer a service-level agreement, and we would rather say so than publish one we are too small to stand behind. What we do commit to: the field app keeps working with no connection at all, reports are held safely on the device until they can be sent, and nothing is lost because our servers were unreachable.

Ending it

You can cancel at any time. We may end an account for non-payment or for a breach of acceptable use, and if we do we will give you reasonable notice and time to export, except where the law requires otherwise.

Liability

FieldLog helps you document work; it does not verify that the work was done correctly, and a report is not a professional certification. Our liability is limited to the fees you paid us in the twelve months before a claim. Nothing here limits liability that cannot lawfully be limited.

Changes and contact

If we change these terms materially we will tell you by email before the change takes effect. Questions to hello@fieldlog.us.
